As part of your employment, INREACH Supports collects and manages personal information about you. We are committed to handling your information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and relevant workplace laws.

What Information We Collect
- Full name, date of birth, contact details
- Tax file number, bank account and superannuation details
- Emergency contact information
- Qualifications, licences, and certifications (e.g., First Aid, NDIS Worker Screening)
- Employment history and resume details
- COVID-19 vaccination status or infection control training
- Information related to rosters, payroll, leave, and training
- Incident reports or performance records (where applicable)
How We Use Your Information
- Manage recruitment, onboarding, and employment
- Meet obligations under employment law and the NDIS Commission
- Process payroll, superannuation, and leave
- Maintain records for compliance, audit, and quality assurance
- Communicate rosters, shifts, and policy updates
- Monitor training compliance and incident responses
- Use of AI: We may use artificial intelligence (AI) tools and platforms to assist with HR management, payroll processing, compliance monitoring, and staff communications. These tools are used to improve efficiency, accuracy, and compliance with legal obligations. All AI systems are subject to strict privacy and security controls, and are only used for legitimate business purposes.
How Your Information Is Stored
Your information is stored securely using protected digital systems including:
- Microsoft 365 (e.g. SharePoint, Outlook, Excel)
- Dropbox (for document storage)
- Shiftcare (for rostering, training, and profile management)
- AI-powered HR and compliance platforms (where applicable)
Access is restricted to authorised personnel only. We apply reasonable physical, technical, and administrative safeguards to prevent unauthorised access or disclosure.
Disclosure of Information
We may disclose your personal information:
- To government bodies (e.g. ATO, NDIS Commission, QLeave) as required
- To training providers, screening agencies, or auditors for compliance
- To third-party technology providers (including AI service providers) for HR, payroll, and compliance purposes
- In an emergency (e.g. to medical professionals using your emergency contact details)
We will never sell or misuse your information, and all third parties are bound by confidentiality or legislative obligations.
Overseas Data Storage
Some of our platforms (Microsoft 365, Dropbox, Shiftcare, and certain AI tools) may store information outside of Australia. We ensure that these providers comply with Australian privacy standards or equivalent protections.
By proceeding with your employment, you consent to these platforms being used to store and manage your employment records.
Access & Corrections
You have the right to access and update your personal information. Please contact management at any time to:
- View your staff record
- Correct inaccuracies or update outdated details
- Request further clarification on how your data is used
Retention and Security
We retain staff records:
- For the duration of your employment
- For a minimum of 7 years after the end of employment (in line with employment and tax law)
Records are securely destroyed or archived when no longer required.
